Pop Up Market Co - Terms and Conditions - 2025
Booking an event confirms you agree with our terms and conditions to protect Pop Up Market Co, yourself and our visitors.
Pop Up Market Co reserves the right to cancel bookings at any given time.
Pop Up Market Co reserves the right to decide what traders qualify to attend our events at any given time.
Expectations
- Stalls must be set up on time and ready by the start of the event. No one is permitted to pack down prior to the end of the market day. Vehicles are not allowed on site until the event manager has confirmed it is safe to do so.
- Stalls should be set up while keeping walkways clear and considering the safety and experience of the general public.
- All stalls must use a tablecloth that fully covers the table. Ideally, this should be a stretch tablecloth that conceals anything stored underneath. A banner and stall decorations are desirable. Traders without a tablecloth will not be permitted to set up.
- Traders providing their own gazebos MUST ENSURE they have sufficient weights and a sturdy structure capable of withstanding wind speeds up to 20mph, with gusts up to 40mph. A minimum of 40kg total weight (10kg per leg) is required.
- Pop Up Market Co is not responsible for any damage to your infrastructure or stock.
Health and Safety
- All stallholders must hold valid public liability insurance (minimum £5 million). If you employ staff, you must also hold valid employers liability insurance. Documentation must be provided upon request.
- Food stalls must be registered with their local council before trading. Compliance with allergy labeling, packaging requirements, and hygiene regulations is mandatory. Refer to Safer Food, Better Business for guidance.
- All food stalls must comply with Natasha’s Law when selling prepackaged food.
- Food stalls must have proper hand washing facilities, a hygiene rating, health and safety certificates, and a valid gas certificate if applicable.
- All stallholders must have an up-to-date risk assessment available on request.
- All food must be protected by sneeze guards or an appropriate covering.
- Food handlers are expected to use utensils where possible and wear gloves as essential.
University Markets – Payment Terms
- For university markets, the deposit must be paid by the due date stated on your invoice. The remaining balance must be paid by the final balance due date.
- Failure to make either payment on time will result in the automatic surrender of your spot at the market.
- Deposits are non-refundable, and once paid, your spot is held but only confirmed upon full payment.
Cancellations & Refunds
- Should Pop Up Market Co cancel an event, you will be entitled to a 75% refund or a credit towards a future market. For refunds, please provide your bank details.
- If you need to cancel a booking, we must receive at least 14 clear calendar days’ notice prior to the event to receive either a refund or a credit toward another event.
- Cancellations with less than 14 days’ notice will not be eligible for a refund or credit.
- Any refunds beyond this timeframe are entirely at the discretion of Pop Up Market Co and subject to us being able to fill your space with a suitable replacement.
Non-Negotiable
- Abusive behaviour or language will result in removal from current and future events at the discretion of Pop Up Market Co.
- No profane language or offensive content is allowed on any visible merchandise. These must be covered with a sticker.
- No references to illegal weapons or drugs are allowed.
- Smoking is prohibited in and around stalls. Please move away to smoke.
- You must remove all your own rubbish at the end of the event.
- We operate a strict no fur policy.
- Generators are not allowed on site.
- Selling out early does not mean you may pack down. You are required to stay for the full duration out of respect for the event and neighbouring traders.
- If you are unable to attend, you must notify a team member as soon as possible, including if you expect to be late.
Additional Pointers
- Pop Up Market Co cannot be held responsible for any parking fines.
- As a sole trader, it is your responsibility to comply with all current legislation relevant to your products.
Examples include:
- Cosmetics: CSA, CPNP, PIS compliance. Vegan/cruelty-free products must be certified by governing bodies (e.g., PETA, The Vegan Society).
- Silver: Must meet hallmarking requirements.
- Toys: Must undergo certified UKCA testing.
- Alcohol: A personal licence is required. A “Challenge 25” sign must be displayed.
By trading with Pop Up Market Co you agree to:
- Provide any information required by local authorities for health and safety purposes.
- Allow us to share your business name and details in social posts and responses to public or media inquiries.
